Booking Confirmation
A booking is considered confirmed only once the £250 non-refundable deposit has been received and written confirmation has been issued by us. These Terms & Conditions, along with any emails, forms, documents or communication form part of the contract between the client and Rural Pizza Company.
Event Date & Service Times
All event dates, service times, and durations are agreed in advance at the time of booking. The client is responsible for ensuring access to the venue is available at the agreed time. Any delays caused by the client, venue, or guests may result in a reduction of service time and will not entitle the client to a refund or extension of service.
Changes to Booking Details
Any changes to the agreed date, times, or service details must be requested in writing and are subject to our availability. We reserve the right to refuse last-minute changes on the day of the event. Additional time requested on the day may incur additional charges and is subject to staff availability.
Deposit & Cancellation
A £250 deposit is required to secure the booking. This deposit is non-refundable under any circumstances, unless the cancellation is initiated by us.
If the client cancels the event for any reason, the deposit will be retained.
Final Payment
The remaining balance of the final invoice must be paid in full no later than 30 days prior to the event date. Failure to make payment by this deadline may result in cancellation of services, with the deposit retained.
Conduct & Behaviour
Our staff must be treated with respect at all times. Abusive, aggressive, threatening, discriminatory, or inappropriate behaviour—whether verbal or physical—towards any member of staff will not be tolerated.
Right to Terminate Services
We reserve the right to immediately cease service and leave the event if any member of staff is subjected to abuse, harassment, or feels unsafe. In such circumstances, no refund will be issued, and the full booking fee will remain payable.
Client Responsibility
The client is responsible for the conduct of their guests. Any damage to equipment, vehicles, or property caused by guests may be charged to the client.
Health & Safety
For health and safety reasons, only authorised staff are permitted in food preparation and cooking areas. Guests, children and animals must be kept at a safe distance from catering areas and hot equipment at all times.
Force Majeure
We shall not be held liable for any failure or delay in performing our obligations where such failure or delay results from events beyond our reasonable control, including but not limited to extreme weather conditions, road closures, accidents, vehicle breakdowns, power or utility failures, illness, government restrictions, or other unforeseen circumstances (“Force Majeure Event”).
In the event of a Force Majeure Event, we will make all reasonable efforts to attend the event and provide the agreed services. Where attendance is possible but circumstances require changes, we reserve the right to adapt the method, timing, or style of service to ensure it can be delivered safely and reasonably on the day.
Where a Force Majeure Event makes it impossible to provide the service in full, we will communicate with the client as soon as reasonably practicable to agree a suitable alternative or partial service where possible. No refunds will be issued for services impacted by a Force Majeure Event, except where required by law.
Photography & Marketing Use
The Client agrees that the Supplier may take photographs and/or short video recordings during the wedding event for documentation and promotional purposes. The Client grants the Supplier a perpetual, royalty-free, non-exclusive licence to use such images for marketing, promotional, portfolio, website, social media, advertising, and related business purposes.
No images will be used in a way that is defamatory or misleading. If the Client does not wish for specific images to be used, this must be communicated in writing prior to the event.
Acceptance of Terms
By confirming a booking and paying the deposit, the client agrees to these Terms & Conditions in full.
